We are seeking a reliable, organized, and detail-oriented Administrative Assistant to support our
landscaping & property maintenance operations. This position plays a key role in keeping our office
running smoothly, assisting with scheduling, customer service, billing, and general administrative tasks.
The ideal candidate will be comfortable multitasking in a fast-paced, service-oriented environment.
*Key Responsibilities:*
? Answer phone calls and respond to emails in a professional and timely manner.
? Schedule appointments, manage calendars, and coordinate crew dispatching.
? Maintain client records and update on job status.
? Assist with invoicing, billing, and collecting payments.
? Process new customer inquiries and maintain positive customer relationships.
? Prepare quotes, proposals, contracts, and other administrative documents.
? Order office and job site supplies as needed.
? Support payroll and time tracking processes.
? File, scan, and manage documentation both digitally and physically.
? Assist with marketing efforts (e.g. social media posts, mailers, etc.), if needed.
? Perform other administrative tasks as assigned.
*Job Requirements:*
? High school diploma or equivalent; associate degree or administrative training preferred.
? 1-2 years of administrative experience (landscaping or service industry experience is a plus).
? Proficient with Microsoft Office Suite and/or Google Workspace.
? Ability to work independently as well as part of a team with flexibility to processes and information
across related teams.
? Excellent verbal and written communication skills.
? Strong organizational skills and attention to detail.
? Comfortable working in a fast-paced, sometimes seasonal environment.
