Blackstone Property Management Inc provides facility management, condominium corporation management, and homeowner?s association management services to commercial and residential clients in and around the Calgary area. We are a small company with ten members on the team and we operate out of an office in Inglewood.
*Position Overview:*
We are searching for a conscientious individual who is seeking a challenging, fast-paced, small office work environment to join our property management team! The successful candidate will provide support to a variety of properties, with a focus on resident & vendor communications. Working hours are Monday to Friday from 8:00AM to 4:30PM.
*Responsibilities and Duties: *
· Coordinate maintenance and repair requests with contractors and service providers.
· Assisting in processing the accounts receivable and accounts payable.
· Function as the primary administrative support for the property managers.
· Maintain accurate records, files, and documentation for each corporation.
· Prepare meeting packages, agendas, and minutes for Board meetings and Annual General Meetings (AGMs).
· Issue work orders and follow up to ensure timely completion.
· Assist with budget preparation, financial reporting, and invoice coding/processing.
· Track and provide support with compliance issues such as bylaw infractions and chargebacks.
· Distribute communication notices and newsletters to residents.
· Perform general office duties such as filing, scanning, data entry, and mail distribution.
· Other duties as required.
*Skills/Qualities:*
· Minimum of two years experience working in an office setting.
· Strong attention to detail is critical to be successful in this position.
· Superior written and oral communication skills required along with the ability to craft outgoing business communications is essential.
· Intermediate skills needed in Word, Outlook, Excel & Adobe.
· Well-organized and the ability to manage and prioritize multiple deliverables.
· Exceptional listening will be required to work independently on assignments and projects.
· Critical thinking skills are required to solve problems and deal with issues as they arise.
· Reliable and punctual.
· Fluent in English, professional mannerisms, and appearance.
· On-site skill testing will be required as part of the interview process.
