Reporting to the Ag Manager, the office supervisor is responsible for oversight of administrative staff and functions, including customer service relations, orders, invoicing, inventory, and health and safety.
*Reporting to the Ag Manager, responsibilities for this position include the following: *
· Oversee the front-office team and the day-to-day administrative functions
· Ensure outstanding and courteous customer service is provided and support staff in resolving customer issues in a timely and effective manner
· Oversee product inventory system, including tracking, receiving, billing, counting, system maintenance, and reporting
· Oversee and enforce approved financial controls and processes within the office, including loss prevention, data management and collection
· In collaboration with the Safety Manager, administer the health and safety requirements for the Rolla Ag location, including the scheduling and documentation of safety meetings and site inspections, coordination and documentation of training and certifications, and other regulatory requirements.
· Administer the NH3 Safety Program, including ensuring all applicable clients are trained in safe handling procedures and that documentation requirements are met
· Provide administrative support to sales and management teams with POS systems, data reporting and analysis, collections, inventory, ordering, and other relevant documentation
· Work with external auditors and other stakeholders and maintain documentation for external audits.
· Review, prepare, and submit various payroll documentation, prepare staff schedules, order uniforms and protective equipment as required
· Oversee reconciliations of customer accounts and inventory counts, performing adjustments as directed or required
· Ensure all Rolla Ag staff are trained in applicable program requirements and that programs are successfully implemented
· Ensure trucks and equipment are properly permitted.
· Oversee staff performance and training, ensuring standards are met and policies are adhered to
· Maintain and contribute to the digital safety documentation database, ensuring accurate documentation is available and up to date
· Adhere to and enforce all Dawson Co-operative Union policies, procedures, and health and safety standards
· Plan for self-development and take initiative to improve own knowledge, skills and abilities
· Other duties as assigned
*Qualifications*
· Post-secondary education in Business/Office Administration or another related field is preferred.
· Minimum of three years experience in a related position, with preference given to candidates with past experience and knowledge in farming, fertilizer, or another agricultural field.
· Prior supervisory experience and team leadership skills is required, with a strong ability to manage relationships at all levels
· Ability to build strong partnerships and work collaboratively with others to meet shared objectives
· A suitable combination of related education and experience will be considered.
· Excellent interpersonal, communication, and customer service skills
· Demonstrated ability to utilize various software programs, including accounting, inventory management systems, and digital filing systems
· Advanced problem-solving skills
*· *Valid Class Five driver?s licence with a clean abstract
*Working Conditions:*
· Based at our Rolla Ag Office
· Standard shifts are eight hours, five days per week; with flexible hours as required
*· *Requires frequent interaction and follow through with all Customers, Suppliers, Managers, Supervisors, Team Leaders and Team Members
*Compensation & Benefits: *
- Between $57,905 and $86,860 per year, commensurate on qualifications and experience
- Extended health, dental, paramedic
